• Inquiries via Email, Phone, Text, Social Media, Website Forms, or Embedded Forms:
  When you contact us via email, phone, text message, social media, through a form on our website, or through an embedded form powered by doulado, we may collect your name, email address, phone number, due date, desired service dates, and any other details you choose to share. We may store this information in our secure client portal, doulado, to manage inquiries, scheduling, and services.
• Client Information via doulado:
  We use doulado to collect and manage client-related information, including intake forms, contracts, service preferences, payment information, and other details necessary for services.
• Communications Information via doulado:
  We may collect your email address, phone number, and other information necessary to communicate with you through doulado. This includes sending intake forms, service-related handouts, educational materials, appointment reminders, care updates, and follow-ups. You may update certain contact information through your doulado account or contact us directly to request changes to your communication preferences.
• Phone and Text Communication:
  If you provide your phone number, we may contact you via phone or text message for service-related communication. We do not use your phone number for marketing purposes. By providing your phone number, you consent to receive these service-related calls and texts. Message and data rates may apply. You may opt out at any time by replying “STOP” or contacting us directly. Please note that opting out of essential service-related communications may impact our ability to provide services. Communication practices and response expectations are further outlined in the client contracts. 
• Payment Information:
  If you purchase services, payment information may be collected through doulado or provided directly to us (such as check payments). Electronic payments are processed through doulado and its integrated third-party payment providers. We do not store or have direct access to full payment details such as complete credit card numbers. For offline payments (check), we may maintain records of transactions, including your name, payment amount, date, and services provided, for accounting and recordkeeping purposes. 
• Cookies and Tracking Technologies:
  Our website, hosted through GoDaddy, uses cookies and similar technologies to enhance your browsing experience and analyze site traffic. You will have the option to accept or decline non-essential cookies through a consent banner. For more information, see GoDaddy’s Privacy Policy.
• Analytics Tools:
  We may use third-party tools such as Google Analytics to collect anonymized data about how visitors use our site (e.g., browser type, device type, time spent, and pages visited). This helps us improve our website and services.

• Share necessary client information with a trusted backup doula or independent provider, in accordance with your stated preferences and service agreement. Backup doulas operate as independent providers and are responsible for maintaining their own professional standards, including confidentiality. 
• Improve our website and client experience. 
• Process payments and maintain financial records. 
• Send service-related forms, handouts, educational materials, reminders, and care updates via email, text, or doulado. 

Email Subscriptions:
If you choose to subscribe to our blog, newsletter, or updates, we may collect your name and email address to send newsletters, resources, and occasional updates. You may unsubscribe at any time using the link provided in our emails. 

While we take reasonable steps to protect your information, our services are non-medical and are generally not subject to healthcare privacy laws such as HIPAA. 

We do not sell or share your information for advertising or marketing purposes.

• You may decline non-essential cookies via our website’s cookie banner.
• You may request access to, correction of, or deletion of your personal data by emailing lindsey@theokiehaven.com.
• Clients may update some of their personal information directly through their secure doulado portal or contact us directly.
• You can opt out of receiving service-related text messages at any time by replying “STOP” or contacting us.

Our services are designed for adults—specifically pregnant and postpartum individuals. We may collect limited information about children (such as names, birth dates, or health details) only when submitted by a parent or legal guardian. We do not knowingly collect personal information directly from children under 13. If we learn that information has been provided directly by a child under 13, we will delete it promptly.

We take reasonable steps to protect your information using secure systems and trusted third-party tools. However, no method of data transmission or storage is 100% secure, and we cannot guarantee absolute security.

We retain personal information only as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Contracts and related service documents may contain personal information necessary to provide care. These documents are stored securely through our systems or trusted third-party platforms.

Our website and communications may include links to third-party platforms (e.g., doulado). We are not responsible for the privacy practices or content on those external sites. Please review their privacy policies before submitting any personal data.

This Privacy Policy should be read in conjunction with your signed Support Contract.
